SaaS LMS or your own LMS: which one fits your organisation?

A subscription LMS gets you started quickly. Your own LMS gives you control. Here is how to decide which one suits your organisation today.

Once training grows beyond a few PowerPoints and WhatsApp groups, most organisations start looking at an LMS (Learning Management System). The next question comes quickly: should we subscribe to an online LMS, or have our own?

Both are good choices for different situations. Here is a practical way to think about it.

Option 1: A SaaS LMS

A SaaS (Software as a Service) LMS is a ready platform you use online. You sign up, add your content and invite learners. The provider hosts, updates and maintains everything.

Works best when:

  • You want to start this month, not next quarter.
  • Your training needs are standard: courses, quizzes, enrolments, certificates and progress reports.
  • You do not have an IT team to manage servers.
  • You prefer a predictable subscription over an upfront project.

Things to check:

  • Whether it fits your number of employees and how pricing grows as you add people.
  • Whether your employees can learn on their phones.
  • How reports show who completed what, since that is what HR and auditors ask for.

Option 2: Your own LMS

Your own LMS is a platform set up only for you. It carries your name and domain, is customised to your process and is hosted on your server or a cloud account you choose.

Works best when:

  • Your IT or data policy needs training data on your own servers.
  • You want the platform to look entirely like your brand, for example if you sell courses to the public.
  • You need custom workflows, reports or roles that a shared platform will not add.
  • You are a training institute, coaching business, school or association and the LMS is central to what you offer.

Things to check:

  • Who maintains the server, updates and backups.
  • How quickly changes can be made after launch.
  • Code and data ownership terms in the agreement.

Four questions to decide

  1. Is training a support function or part of our business? If you train your own staff, SaaS is usually enough. If training is what you sell, owning the platform matters more.
  2. Do we have data rules? If policy says data must stay on your servers, choose your own LMS.
  3. How different are our needs? Standard courses and certificates fit SaaS. Unusual approval flows, roles or reports point to your own LMS.
  4. How soon do we need it? If the next batch of joiners starts next week, begin with SaaS. You can move to your own platform later.

A common path

Many companies start with a SaaS LMS to get training organised quickly. Once training becomes a larger part of how they work, or once policy, branding or custom needs grow, they move to their own platform. Starting with SaaS is not a wrong decision. It is often the fastest way to learn what you really need.

What to prepare before you choose

  • A list of courses you already have, and their formats (video, PDF, audio, quizzes).
  • Number of learners now and in the next two years.
  • The reports HR, managers or auditors ask for.
  • Whether learners use laptops, phones or both.
  • Any IT or data policy that applies.
